When and who needs to update data in PESEL UKR: instructions for Ukrainians in Poland

PESEL UKR is a separate type of identification number intended for Ukrainian citizens staying in Poland for a long time. Find out more about when Ukrainians need to update their PESEL UKR information and how to do it without making mistakes
After Russia's full-scale invasion of Ukraine, millions of Ukrainians were forced to seek safe haven abroad. Poland has become one of the main evacuation destinations, and the Polish government has introduced a number of solutions to support Ukrainians, including the provision of a special identification number PESEL UKR.
This number provides Ukrainians with official status, access to medical, educational and social services, and allows them to be legally employed in Poland. However, obtaining PESEL UKR is only the first step. It is very important to update your data regularly to avoid problems with access to public services.

Who needs to update their data in PESEL UKR?
Updating is mandatory for you if:
- You arrived in Poland after February 24, 2022 and received PESEL UKR.
- Your foreign passport has expired.
- You have received a new passport or other identity document.
- You have changed your surname, name or other personal data (e.g. due to marriage or divorce).
- You have changed your civil status or other circumstances that affect your residence status in Poland.
Why is it important?
1. Avoiding denials of social benefits
According to the statistics of Polish services, up to 20% of applications for social assistance are rejected due to incorrect or outdated information in the PESEL register. This means that you can lose the right to benefits just because of data discrepancies.
2. Requirements of Polish law
As of 2024, the PESEL UKR number is issued only on the basis of a valid foreign passport. If your passport is no longer valid, the state may automatically reject your status or restrict access to services.
3. Quality of service and security
Updating data allows Polish institutions to work more accurately and quickly, reducing the risk of errors, misunderstandings or delays in resolving important issues.
In case of changes in documents or difficulties with PESEL UKR registration, you should contact a migration lawyer. The specialist will help you to collect the documents correctly, fill out applications and accompany you at every stage - especially when it comes to the right to stay, employment or social benefits.
How to update data in PESEL UKR: step-by-step instructions
Step 1: Personal visit to the municipality
Contact the municipal authority (uzhendu) where you received your PESEL UKR number. Updating is not done online or by mail - only in person.
Step 2: Prepare all the necessary documents
1. A valid foreign passport or a new passport.
2. Documents on change of personal data (if there were any changes): marriage/divorce certificate, court decision, certificate of change of name, etc.
3. Previous PESEL UKR number (if you have a card or certificate).
Tip: Take copies of the documents to avoid unnecessary delays.
Step 3: Fill in the application form
UZHEND will provide you with a data update form, which must be filled in carefully and without errors. On-site consultants can help in case of difficulties.
Step 4: Wait for confirmation
After submitting the documents, you will receive a confirmation. It takes 5-10 business days to update the data, although sometimes this period can be shortened.
Important! If you do not update your data on time, you may be blocked from accessing free healthcare, education, and social assistance. In addition, your presence in Poland may be considered illegal, which may result in deportation or fines.
You will also not be able to work officially or extend your legal stay.
Updating your data in PESEL UKR is not a bureaucratic formality, but a necessary step for your peace of mind and stability in Poland. Keep your documents up-to-date, report changes in a timely manner, and you will be able to freely exercise all the rights granted to you.
